This notice is a translation of the Spanish version. In case of any discrepancy between versions, the Spanish version prevails.

In compliance with Mexico’s Federal Law on the Protection of Personal Data Held by Private Parties (Ley Federal de Protección de Datos Personales en Posesión de los Particulares), published in the Official Gazette of the Federation on March 20, 2025, we inform you how we handle your personal data.

1. Data controller

The group of administrators of the Juegalajara community, based in Guadalajara, Jalisco, Mexico, is responsible for handling your personal data.

2. Personal data we handle

Photos and videos of events and meetups

We take photos and record videos during community events and meetups. They may include your image and, in videos, your voice.

Sign-in with Google

When you sign in to this website with your Google account, Google shares with us, and we store:

  • Your name.
  • Your email address.
  • Your profile photo.

We also record the date you created your account, the date of your last sign-in and your role on the website. We never receive or store your Google password.

Event registrations

When you register for a community event or activity, for example through an online form, we may ask for:

  • Your full name.
  • Your phone number.
  • Your email address.
  • Your preferences and tastes, such as your favorite colors or your favorite board game.

Each form states which data it requests and which fields are optional.

Sensitive data

We do not request sensitive personal data, and the photos and videos are not intended to collect it.

3. Purposes

We use your personal data only for the following purposes:

  • Photos and videos: to share the community’s events and meetups and to promote upcoming ones.
  • Sign-in: to identify you, give you access to the members area or the admin panel according to your role, and keep your session secure.
  • Event registrations: to confirm your participation, contact you about the event (for example, changes of time or venue) and prepare activities according to your preferences.

We do not sell or hand over your data to third parties, and we do not use it for any other purpose.

  • By being part of the community and attending its events and meetups, you authorize the use of the photos and videos in which you appear as content to share and promote those events and meetups.
  • By signing in with your Google account, you authorize the handling of your account data described in this notice.
  • By submitting an event registration, you authorize the handling of the data you provide in it.

You may revoke your consent at any time, as explained in section 7.

5. Where we publish photos and videos

  • This website, for example in event galleries.
  • The community’s social media: Facebook, Instagram and Birdple.
  • The community’s WhatsApp groups.

These platforms are operated by third parties, and the content published on them is also governed by their own privacy policies.

Your account data and your event registration data are never published.

6. Minors

When a minor attends an event or meetup, the authorization is given by the mother, father or guardian who accompanies them. A minor’s registration for an event must also be made by their mother, father or guardian.

That person may request at any time the removal of content in which the minor appears or the deletion of the minor’s data, and we handle these requests with priority.

7. Content removal and ARCO rights

You have the right to access, rectify and cancel your personal data, or to object to its use (ARCO rights), as well as to revoke your consent. In particular, you may:

  • Explicitly request the removal of any photo or video in which you appear.
  • Request the deletion of your account on the website and its data.

To do so, send an email to juegalajara@gmail.com and include:

  • Your name and a way to contact you.
  • The right you wish to exercise.
  • The data or content your request refers to. To remove a photo or video, use the subject “Solicitud de retiro de contenido” (content removal request) and include the link to the post or, if you do not have it, the event or meetup, its date and where you saw it, along with a description that lets us identify you in it.
  • If the request concerns a minor, your relationship to them.

We may ask for additional information to confirm your identity or that of your representative.

We will reply within 20 days of receiving your request. If the request is granted, we will carry it out within the 15 days following our reply. Exercising these rights is free of charge.

We remove content from the channels the community manages. We cannot remove copies that third parties have downloaded or published on their own, but if you let us know, we will help you request it on the corresponding platform.

8. Transfers and service providers

We do not transfer your personal data to third parties, except when required by law or by a competent authority.

We rely on technology service providers that handle data on our behalf:

  • Google (Firebase): hosts this website, manages sign-in, and stores account data and gallery photos.
  • Online form platforms, when an event registration is made through one.

We only share with them the information needed to provide the service.

This notice applies to registrations organized by the community. If a registration is organized by an ally or another third party, the data you provide to them is governed by their own privacy notice.

9. Cookies and tracking technologies

This website does not use analytics or advertising cookies.

  • We use a session cookie only when you sign in.
  • We store your light or dark theme preference in your browser.

Some pages include third-party content, such as Instagram posts on the home page and Google Maps on event pages. That content may use its own cookies, under those platforms’ privacy policies.

10. Retention

  • Photos and videos: remain published while they are useful to share the community’s events and meetups, or until you request their removal.
  • Account data: kept while your account exists, or until you request its deletion.
  • Event registrations: deleted 3 months after the event was last modified, once the event is no longer published on the site. If the event is modified, the period starts over from that change.

11. Changes to this privacy notice

We may modify this privacy notice. We will publish any change on this page, along with its last updated date.

12. Authority
